Technical Operations

Technical Operations is the maintenance, repair and overhaul division of United. The department includes aircraft maintenance technicians, engineers, planners, ground equipment and facilities teams, supply chain teams and more.

Job Overview and Responsibilities

Responsible for providing wide ranging administrative support of a Technical Operations organization / location. Provides department scheduling, payroll processing and direct administrative support to the Technical Operations organization. Serves as liaison for station intra-departmental activities.

Communicates effectively and professionally with internal and external customers. Represents the respective leadership team and the organization in a highly professional manner. Demonstrates the ability to handle multiple tasks with minimal supervision. Takes initiative on requests and inquiries of administrative nature. Recommends action to improve administrative processes to help streamline work and efficiency. Acts as first point of contact for all department employees with any payroll or benefit issues including employee retirement processing, and coordinates with Employee Service Center for occupational employee claims.

Payroll Responsibilities; provides administrative support including, but not limited to:

  • Payroll Processing - may require some or all of the following responsibilities

  • Demonstrates knowledge of employee payroll systems (i.e. ETA, Time Tracker)

  • Prepares, reviews, and enters accurate payroll exceptions in applicable time & attendance program

  • Reviews, prints and distributes employee pay records as required

  • Manages and updates dependability records for all organization employees, alerting supervisors of any potential attendance issues

  • Processes weekly and monthly reports including sick, FMLA, ANP, and overtime use for department

  • Utilizes ETA to update record

Scheduling / Rostering; provides administrative support including, but not limited to:

  • Gains proficiency and utilizes rostering, vacation bidding/tracking or payroll computer systems

  • Coordinates employee shift bids

  • Develops and maintains work schedules for all department employees

  • Coordinates vacation selection process for all department personnel

  • Prepares, coordinates and maintains awards for shift bidding, including holidays and other related scheduling variables

  • Operates computer-based programs to input and maintain a variety of database information such as local personnel records, payroll and work assignment reports or records

  • Schedules IBT overtime and weekend overtime using ETA process.

  • MTISE ensures proper reporting and updating of records and training.

  • Utilizes ETA reports

Financial Support; provides administrative support including, but not limited to:

  • Prepare Employee Expense Reports and Travel Advances in accordance with Company policy for employee reimbursement

  • Processing of invoices and international wire transfers

  • Reconciles Purchase card

  • Generates orders for office supplies

  • Maintains accurate data for submittal during annual budget planning. Maintains employee personnel files

Additional Administrative Support Responsibilities; provides administrative support including, but not limited to:

  • Coordinate the in/out processing of technicians including processing employee records, airport badging, parking etc

  • Provide assistance with coordinating employee recognition events

  • Assists with travel arrangements (itineraries and accommodations) in support of Emergency Field Service or training

  • Schedules travel, conference calls, conference rooms, and special departmental functions

  • Coordinates new or replacement uniform ordering

  • Maintains personnel files for the department.

Dependability Requirements:

  • Regular attendance and punctuality in accordance with United's policies is required

  • Attendance is required at work location


  • High School Diploma or GED/equivalent

  • Proficient in Microsoft Office (Windows, Word, PowerPoint, Excel and Outlook), good communication, & organizational skills

  • 2 - 5 years of administrative support or office experience

  • May require the ability to work flexible hours


  • 2-year degree in business or related field

  • Driver's License for specified Warehousing & Distribution positions

  • Experience with FMLA Administration, Payroll & Human Resources systems


  • Must be legally authorized to work in the United States for any employer without sponsorship required
